Wedding Day Advice | Confirming ALL Vendors
If you are providing any type of service on the wedding day, whether it’s full planning, partial wedding planning or just wedding day management for a client, take time to contact ALL of the vendors before the wedding day. This includes vendors that the bride has worked with directly, vendors she has booked before hiring you, and any family members or friends who are providing services.
As the wedding day coordinator, it’s important to introduce yourself through phone or email prior to the wedding and confirm the vendor’s arrival time, the location of the wedding, and services that are provided by every single vendor involved.
This is essential to help you do the best job possible for your clients. Final confirmations also give vendors a chance to have their questions answered and to have your contact information for the wedding day.

[…] Confirm final details with the event professionals who have been booked by the client […]
I agree with Pamela. I recently worked on a wedding and had called all the vendors for introduction and confirmation prior to the event. I followed with an email that included my photo as part of the signature block. Several vendors thanked me for including my photo as it helped them quickly pick me out upon arrival at the venue from others working in the space.
Great tips here. Thank you!
Thanks for sharing your experience Jenn!
I find that confirming vendors is one job best done over the phone, followed up with an e-mail recap. It is so valuable to put a human voice to that vendor, to ensure that all of the contact information you have is correct, and to have some peace of mind that the details have been heard and understood by everyone involved.
Pamela, that is a great tip. Thank you for sharing!
I agree Pamela. When vendor’s do not know you prior to the event, it can lead to some possible bumps.
I agree! It helps make my day run smoother.
I recently worked on a wedding as a day of coordinator. I contacted all vendors ahead of time, it was great the day of that others knew who I was and what my role was. Some especially appreciated I knew their names and I appreciated the response I recieved because people already knew who I was.
That is so great Kelley. Thanks for sharing!
