As a professional event planner, we process hundreds of emails each week. It can be overwhelming to keep up with emails, especially during busy wedding season. One thing I have found to make my life easier is to have email template responses that I can cut and paste into emails for a quick response to inquiries from potential clients.

Here is a sample email response template for a new wedding inquiry:

Hello! Thank you so much for getting in touch with us. Do you mind sharing a few more details about your wedding?

– Where is your wedding?

– Do you have a date or month/year for your wedding?

– How many guests are you expecting?

– What is your overall wedding budget?

– What vendors have you already booked?

– What type of planning services are you interested in? (month-of coordination, partial planning, full service planning)

Depending on the type of email service you use, you can put your template as an email signature and simply choose the signature template when drafting a reply (instead of copying/pasting the text). If you have a contact form on your website, you may already have the answers to these questions when you receive new inquiries through your contact form.

I also have an email template response that I use when a new-to-us vendor inquires about meeting with our planning company. For intern and employment inquiries, we use an auto-responder on that email address. These templates and auto-responders have saved me hours of time each week.
